micro1 Inc. ("micro1") is the data controller for your personal data collected when you use Zara, our AI-powered interviewer.

Why Do We Collect Your Data? (Purpose and Legal Basis)

We collect and process your personal data to:

  • Assess your application and suitability for roles with our clients.
  • Match you with relevant job opportunities.
  • Conduct AI-led interviews and skills assessments.
  • Create and maintain your candidate profile.
  • Share your information with potential employers.
  • Improve our recruitment processes and AI models.
  • Comply with legal obligations and protect our rights.

Legal Basis:

  • Contract Performance: Processing your application and providing recruitment services.
  • Legitimate Interests: Improving our recruitment technology and business operations.
  • Consent: Where specifically obtained for certain processing activities.
  • Legal Obligations: Compliance with employment and data protection laws.

What Data Do We Collect?

Personal Information:

  • Name, email address, phone number.
  • Professional experience, skills, education.
  • Resume/CV and LinkedIn profile data.
  • Location and work authorization status.

Interview Data:

  • Audio and video recordings of your AI interview sessions.
  • Screen sharing recordings for technical assessments.
  • Transcripts of your responses.
  • Assessment scores and evaluation results.
  • Behavioral and performance analytics.

Technical Data:

  • Device information and browser details.
  • IP address and session data.
  • Platform usage analytics.

How We Use Your Interview Data

AI Interview Processing:

We use audio, video, and screen sharing to generate an accurate assessment & proctoring score. The recording of your screen and camera will be included in the AI interview report.

Profile Creation:

We utilize your provided resume, LinkedIn data, and related professional information to construct and maintain your deep candidate profile on our platform.

AI Model Training:

We use anonymized data collected from AI-powered interviews - including audio, video, transcripts, and assessment results — to train and enhance our machine learning models. This data may also be shared with foundational model providers (e.g., large language model companies) to help improve their underlying models.

Candidate Opt-Out Rights and Data Protection: Where technically feasible, candidates have the right to opt out of having their data used for training purposes. To exercise this right, please contact privacy@micro1.com. In cases where opt-out is not technically feasible, micro1 employs industry standard privacy enhancing techniques to protect your personal information, including but not limited to differential privacy (adding statistical noise to datasets while preserving analytical utility) and data anonymization (removing or encrypting all personally identifiable information before processing). 

These measures ensure that no personal information appears in the data used for internal AI training purposes, in alignment with micro1's Core Privacy Principles at https://compliance.mintlify.app/compliance/data_privacy_and_protection - Data Minimization (collecting only what is necessary), No Training on Customer Data (candidate data is never used to train our internal models), Anonymization (all internal usage of data is anonymized with PII and PHI explicitly excluded), and Retention Control (clients define retention periods with automatic deletion upon contract termination or earlier upon request).

Research and Development:

In certain cases, we may generate and publicly share anonymized datasets derived from candidate interviews for the purposes of academic research, product validation, or reproducibility of published results. These datasets will not contain personally identifiable information.

Who Receives Your Data?

Internal Recipients:

  • micro1 recruitment and technical staff
  • Customer support and quality assurance teams

External Recipients:

  • Potential Employers: Your AI interview recording will be shared with top US-based companies to help you get matched with exciting opportunities faster.
  • Client Companies: If you are invited to an interview by a company through the micro1 platform, you agree to share your personal data, including email, phone number, LinkedIn profile, and the recording of your AI interview, with both micro1 and the inviting company for the purposes of recruitment and evaluation.
  • Service Providers: Cloud hosting, video processing, and analytics providers
  • AI Model Providers: Foundational model providers (e.g., large language model companies)
  • Legal Authorities: Where required by law

International Transfers:

Some recipients may be located outside your country. We ensure appropriate safeguards are in place, including Standard Contractual Clauses and adequacy decisions where applicable.

How Long Do We Keep Your Data?

  • Active Candidates: Data retained while your profile is active and for recruitment purposes
  • Inactive Profiles: If you create a candidate profile but do not proceed, your data will be deleted after 24 months of inactivity
  • Legal Obligations: Some data may be retained longer to comply with legal requirements
  • AI Training Data: Anonymized data used for AI training may be retained indefinitely

Data Deletion Limitations

If you wish to opt-out, you can request the deletion of your profile from micro1 at any time. This doesn't apply if you have been invited to take an interview with one of micro1 clients and not with micro1 directly. 

Is Providing Your Data Mandatory?

Providing your data is necessary to participate in the recruitment process. If you do not provide the required information, we cannot process your application or schedule an interview.

Automated Decision-Making and AI Processing

AI Interview System:

Your application may be subject to automated processing, including AI-led interviews and assessments. This means some decisions (such as initial screening or matching) may be made automatically.

Human Oversight: However, micro1's AI Recruiter (Zara) is never used to make autonomous hiring decisions. All AI-generated outputs are reviewed by trained human evaluators, with final hiring decisions always remaining under human control and judgment, in alignment with micro1's approach to Human Oversight & Fairness, see https://compliance.mintlify.app/compliance/human_oversight_and_fairness  

How AI Works:

  • Logic: Zara analyzes your responses and matches your profile to job requirements.
  • Significance: Automated results may determine your progression in the recruitment process.
  • Consequences: AI decisions may affect your eligibility for specific roles.

Your Rights Regarding AI Decisions:

  • Human Review: If you disagree with an automated decision, you can request human review at any time.
  • Challenge Decisions: You can contest AI-driven assessments.
  • Explanation: You can request information about how AI decisions were made.

AI Limitations:

This interview utilizes AI technology, which may have limitations in understanding or interpreting certain responses. If you feel your responses were inaccurately processed, please contact the micro1 hiring team promptly to address concerns.

Your Rights

You have the right to:

  • Access: Access your data.
  • Rectification: Rectify inaccurate or incomplete data.
  • Erasure: Erase your data ("right to be forgotten").
  • Restriction: Restrict or object to processing.
  • Portability: Data portability (receive your data in a portable format).
  • Withdraw Consent: Withdraw consent at any time (where processing is based on consent).
  • Human Intervention: Request human intervention for automated decisions.
